Work Expenses and receipt scanning
Keep a record of what your job costs you, from non-slip shoes to booth rent, and scan the receipt so you don't have to type it in. The text is read on your phone and the photo stays there.
How it works
- On Android, open the Shifts tab, switch to Expenses and tap Add Expense.
- Under Receipt, tap Take photo or Choose photo. Cashout reads the receipt on the phone and fills in the amount, vendor, date and category it finds.
- Check what it filled in. It tells you which fields came from the receipt, like "Filled in amount, vendor from the receipt. Check them before saving." If it can't read the receipt, the photo is still attached and you enter the details yourself.
- Pick or change the Category and add an optional note, then tap Add Expense. You can also skip the photo and enter everything by hand.
Categories include Uniform, Shoes, Tools, Supplies, Food & Meals, Transportation, Gas & Fuel, Maintenance, Insurance, Booth Rent, Products, Phone/Data and Other. Work Expenses shows your total for the year and a breakdown By category (this year); tap a category to filter the list. Totals by category also appear on the Taxes screen and in the year-end Tax Summary Export PDF.
Expenses and your tax estimate
- W-2 jobs: expenses are shown for your records. They aren't subtracted from your tax estimate.
- 1099 jobs, Android only: since 6.1.0, expenses are subtracted from your 1099 profit in the self-employment tax estimate. Expenses aren't tied to a job, so all of the year's expenses come off 1099 profit. See tax estimates.
Where your receipt goes
The receipt photo stays on your phone. It's never synced and it isn't in backups. On Android the photo is re-encoded and its EXIF data, like location, is stripped. The text read from the receipt is part of the expense, so it syncs if you have an account. Cashout doesn't ask for camera permission on Android; it uses the system camera and photo picker.
Android reads receipts with Google's ML Kit, which runs on the phone. ML Kit sends Google diagnostics when you scan, such as an install ID, timing and error codes, but not the image. iPhone uses Apple's Vision text recognition, which sends nothing.

An improved receipt reader, better at matching the subtotal and tax, is coming to iPhone.
What it doesn't do
- It doesn't decide what's deductible. It keeps the record; you or your tax preparer decide what goes on a return.
- It doesn't lower taxes on W-2 wages or tips in the estimate.
- A cash receipt with no labels may read the cash you handed over instead of the total. Check the amount.
- Expenses can't be linked to a job, so you can't split them between a W-2 job and a 1099 job.
- Receipt photos aren't backed up. If you lose the phone, the photos go with it. Keep paper receipts or your own copies for anything you'll claim.
Expenses and scanning work with no account and no internet.
